This is a reference checklist of items to be completed during the year.

NOTE below the items to be completed, there is a list of requirements by AKC. We, as a club, have to complete these requirements to be approved to conduct shows.

Papillon Club of Tulsa Checklist Calendar

(Fiscal year begins July 1st of each year)

Throughout year --Secretary shall provide notice of meetings at least 10 days prior, either by mail, email or personal contact

February – Board selects nominating committee of three members and two alternates

March – Nominating committee must meet on or before March 10th and nominate one candidate for each office and board position

During the month of April – Treasurer sends statement of dues to members (either postal or email)

Meeting prior to the June meeting – additional nominations may be made from the floor

May 18th – thru June -- Secretary notifies members of nominations two weeks before the meeting prior to the June meeting

June – Annual meeting required Elect new officers. (newly elected officers take office immediately upon the conclusion of the election of the annual meeting)

July 1st to November 15 –- Treasurer. IRS tax return due, deadline Nov. 15th (epostcard @urban.org) (Fiscal year is 1 July to 30 June)

December -- Before end of year – Secretary & President. Report satisfaction of eligibility requirements to AKC in order to hold shows for next year

There are two categories, A and B. These must be completed during the year before shows are held. For example, we met these requirements in 2008 for our shows in 2009.

A category requires ONE of the following within 10 miles of club territory each year. (Two if outside of the 10 mile area.)

1. Independent AKC sanctioned match. Not associated with a dog show.

2. AKC multi-club Educational match. (May experiment with different types of matches.)

3. AKC Canine Good Citizen Test.

4. Active Public Education Program. (Must document events at places such as civic organizations, libraries, 4-H, Scouts, etc. May be outside of 10 mile area.)

5. Other Educational or Outreach Programs. (Requires advance AKC approval.)

6. AKC classified advertising program. Must reach a minimum of 200,000 readers in classified section of newspapers. Educate readers to “demand AKC papers.” [www.demandakcpapers.com]

B category requires at least TWO within 10 miles of club territory or FOUR outside of 10 miles.

1. Conformation/Obedience/Rally/Agility training classes.

2. Breeder Referral Service (May be on website.)

3. Two Educational Programs for Club members, public or judges education.

4. Dog show tours.

5. New Exhibitor briefing at events.

7. Opportunities for provisional judges. (Hire for shows. Only one is required for a specialty to meet this requirement.)

8. AKC Show Committee seminars. (Club holds this seminar) May be outside of 10 mile area.

9. Disaster Planning. (Prepare an AKC approved disaster preparedness plan for natural disasters.)

10. Meet the Breeds. (May be outside of 10 mile area.)

11. Health Clinics. (CERF screening, OFA, Cardiac testing, etc. May be outside of 10 mile area.)
